New Features in BiblioFile Version 1.1

The following are new in Version 1.1. For a list of all 1.1 features, see BiblioFile features in Version 1.1.

  1. ITSMARC Z39.50 searching. Searching ITS.MARC databases has been made easier due to an upgrade of the server. Begins with searches are now supported for text-based searches such as title or author, and contains searches are supported for numeric searches, such as ISBN or LCCN. This makes it unnecessary for users to switch back and forth between begins-with and contains when changing search type from ISBN to title.
  2. Label preview. A new information pane -- Label Printing Preview -- has been added. This makes it easy to view the the effect of configuration changes on the record currently being edited.
  3. Label print controls. A print control dialog permits the printing of a specific single label, or set of labels, from the label print queue . Label queues are stored as binary files containing specific print attributes (vs. MARC records as previously). This makes it possible to specify which label or labels are to be printed from a certain record.
  4. Label configuration. Significant improvements have been made to the label configuration module. The number of preconfigured vendor label stock options has been increased.
    • Labels can be configured to include any number of user-defined print regions, each adjustable in size and position with mouse or keyboard commands. Print regions can include pre-configured content such as author, title, branch name, etc., or specific field information.
    • Each print region can have its own font and point-size settings.
    • A WYSIWYG sizing tool helps define the size of print regions on the label.
    • Label stock can be selected by vendor label stock number. If you don’t see your vendor's stock number represented, send us a sample sheet (not a fax or copy), along with the vendor name and stock number. We’ll add it to our label stock download site.
    • If TLC updates a label stock configuration, the user is advised of the update the next time they use that stock in the label configuration program.
  1. Template workflow. Template use has been improved. To prevent accidental editing of a template as if it were a MARC record, three improvements were made:
    1. Templates in the Template Editor appear with a watermark to clearly identify them as templates
    2. Double clicking on a template opens a MARC edit window
    3. The normal workflow for creating a MARC record from a template has been changed. The recommended practice in Version 1.1 is to select a template from the File > Open Template menu. A fly-out list of existing templates appears.
  2. Browsing.  The search dialog now supports browse mode in addition to the traditional search mode. This is particularly useful with authority record searches, in which the object is to select a proper term from those that have been established at the national level or downloaded for local use.
  3. Changed record flag. The tab control for a MARC edit window is flagged with an asterisk (*) if the record has been changed since it was opened.
  4. File Editor. This new Components menu feature supports a style of editing in which the editor and the result set are linked and simultaneously visible. This feature only works on MARC files. The traditional access to such files (File | Open) is still available, but the File Editor is the method of choice when certain records within a MARC file are to be deleted.
  5. Shared workstations. If a single workstation is shared by two or more catalogers with separate logins, their individual settings and preferences are retained. If a new user login is detected, BiblioFile default settings are applied. This new feature also makes it possible for BiblioFile to be installed by library IT staff, while everyday use of the software is performed by catalogers.
  6. Cataloger's Reference Shelf. Access to the Cataloger’s Reference Shelf from the Help menu now presents a comprehensive Table of Contents of all 24 manuals in a Windows Explorer-style tree menu. Inter-manual links have all been established. Updates to the Cataloger’s Reference Shelf and to the rest of the help system may be downloaded as needed.
  7. Barcodes. Two barcode fonts (Type 39 standard and extended) are also now included with the installation to support the printing of barcode labels. A barcode number serialization feature is planned for a future release. For now, you must keep track of barcode numbers you assign to assure they are unique.
     

Another new feature lets you recreate the barcode if you change he subfield assignment for barcode numbers after you have already added records to the Local Database.

  1. Date-range search of deleted records. Local Database records flagged as deleted may now be retrieved via the search dialog. Deleted records are not indexed, so a search for deleted records (Ldr/05=d) returns all records in the Local Database deleted within the specified date range without regard to search argument or other parameters in the search.
  2. Deleting records. Records in the Local Database may now be marked for deletion (set Leader byte 05 to d). Such records can be retrieved from the search dialog, as noted above, or extracted in a batch operation to be sent to a union catalog manager. The batch process can also remove these records altogether from the Local Database. Records may also be removed from external MARC files via the File Editor.
  3. Backup and restore. A separate utility is now included that permits the Local Database to be backed up and subsequently restored if necessary. TLC encourages all BiblioFile users to use the Windows Scheduler function with this feature.
    NOTE: The Local Database contains more than MARC records. It also contains print queue header information for labels, and will carry work file information in a future release. Nevertheless, the Local Database does not contain all the information worthy of backup. Individual user settings should also be backed up periodically. This can be done on each workstation from the Tools > Export Settings menu.
  4. Unicode-only character recognition. Version 1.1 supports the display and manipulation of Unicode characters that are not valid in traditional MARC-8 formats. If Leader byte 09 is set to 'a' (Unicode encoding), characters that are not round-trippable (convertible in both directions) between MARC-8 and Unicode can be saved. If the user attempts to save such a record in MARC-8 format, the binary value of the character is now inserted into the record using Numeric Character Reference in the form &#dddd;, where dddd is the decimal value representing the character's Unicode value.   5. Fixed field editors. A new editor format has been employed for the Leader and 007 fields. This new editor uses a resizable window and supports a more intuitive workflow, integrated error handling and reporting, and accommodates multi-position fields (e.g., dates) with dropdown menus and special dialogs.
  6. Time stamp. A new column has been added to the result set display, showing the last edit date from the 005 field. As with other field data, the display of this column can be toggled on or off.
  7. Long, unbroken fields. In the prior version of BiblioFile, if the cursor was placed on a subfield a long, unbroken string of data (no spaces), the application would terminate while trying to wrap the data. This condition is now handled with a horizontal scroll bar.
  8. Print queue prompting. Print queues can now be configured to ask the user whether a record being saved should also be saved to a print queue.
  9. Record cloning. If you change the control number of a record and attempt to save it, the system will now ask you if you are actually trying to clone the record. If you say yes, the system will create a new record. Otherwise, it will replace the existing record with a new control number. In BiblioFile, as in most MARC systems, the control number field (001) is a record's unique identifier. Duplicate control numbers are not permitted.
  10. Browser component. The browser component has been removed for now. A problem was discovered in the original browser and it was felt that the time required to bring this component up to acceptable functionality was not justified. TLC expects this feature to be useful in the construction of 856 and other fields containing URLs. However, early feedback indicates that no significant use was being made of it as originally deployed. TLC invites comments from users as to how they would like to see this feature developed.
  11. Product licensing. TLC uses third party licensing software to control distribution of BiblioFile. The use of this software has been simplified for subscribers.
  12. Authority verification. Sears Subject headings are now supported, and a correction was made to recognize the differences in punctuation between headings in bibliographic records and their counterparts in authority records. There are still some known issues in authority verification, some of which will be addressed in the Summer release.
  13. Single help window. A press of the F1 key in Version 1.0 presented both the relevant Cataloger's Reference Shelf page and the BiblioFile Help menu's main page. This action now presents the Cataloger's Reference Shelf only.
  14. Leader Validation message. An error message that Leader bytes 22-23 are in error has been corrected.
  15. Single record result set. The result set tab that contains only a single item is left open after spawning an edit window for the record. This is a backwards compatibility feature.
  16. Result set window size. A problem with result set displays, in which only one record was displayed if the window size was set below 1024 X 768 has been corrected. However, the minimum system configuration for use of BiblioFile remains 1024 X 768.

Known Issues in Version 1.1
Version 1.1 provides full backwards compatibility for all major ITS features except card printing, which will be addressed in a future release. There are other minor issues in the current release (1.1) that will either be addressed in 1.2 or have been deferred pending user feedback. Learn more.

Upgrading from Version 1.0
If you have Version 1.0 installed, the upgrade to 1.1 is easy. Download the new software or request it on CD from TLC Support. Run the Setup program and select the same options you selected when you installed BiblioFile. i.e., check or uncheck the software and database boxes depending on how your machine is configured. Your license will automatically be transferred. No re-registration is required. Take note, however, of the following caveats:

  1. Before upgrading, clear the label queue. Label queuing works differently in Version 1.1. The old queues will not be recognized as print queues.
  2. Once the database has been updated, clients running Version 1.0 must be upgraded to access the new database. They can work with other 1.0 databases that may be installed on your network (or on the local machine), if any such exist, but not with the shared 1.1 database.
