New Features in BiblioFile Version 1.3

Updated 3/5/2008.

The following were new features in Version 1.3. For a list of all 1.3 features, see BiblioFile features in Version 1.3.

  1. Fixed field editors. The Field Editors for the 006 and the 008 have new dialogs similar to the Leader and the 007 introduced in BiblioFile Version 1.1.  The dialog makes it easy to set up the field positions with an intuitive workflow and integrated error handling along with easy access to the Cataloger's Reference Shelf (CRS).  The multiple position dialog allows you to select whatever code is suitable for your material and immediately see if any corrections are needed.  See the Help topics for more information.

  2. The 856 Field Editor also has a more intuitive look, consistent with other field editors, although its functionality is unchanged.

  3. Automatic Control Numbers - The date component of automatic control numbers has been removed (we heard you!), making shorter control numbers possible. Separate numbering sequences can be established for bibliographic records,  name authority records, and subject authority records.  The auto control number can have a prefix of up to five alpha characters, and a serialized portion up to 9 digits. Users who still wish to use date-based control numbers will have to periodically update the serial sequence.

  4. Cataloger's Reference Shelf - The Contents pane on the left side of the CRS window now provides searchable, expandable access to all 24 volumes, regardless of the volume you started in.

  5. Shelf list cards - Although full card printing capability has not yet been built into BiblioFile, a new 3X5 card configuration can be used to print shelf list cards. This, or any other recently added print configuration can be downloaded at any time. BiblioFile displays new configurations in the Manage Label Stock dialog.

  6. Authority verification corrections

  • The previous version failed to recognize thesauri other than LC in name-based subject authority records has been corrected. Previously, a name that authorized to a locally created name record containing a character other than "a" in 008/11 (such as "n" or "z") produced a Partial Match message in the Authority Verification Output pane. This was an incorrect message, because a proper matching authority record existed, but was associated with a non-LC thesaurus.

  • A prior version behavior was corrected that caused authority verification to match to deleted authority records as if they were valid.

  1. Window size - A problem was corrected that prevented the display of relevant information if the BiblioFile window size was set lower than 800 X 600. The most common problem was that a result set would appear with only one item in it, or the sizing buttons on the label configuration screen become inaccessible, even using the scroll bars. This has been corrected.

  2. Meeting Names: Result sets from Author searches (not to be confused with Personal Name searches) were were not appearing in the Author column if the information came from an X11 field (111, 711, or 811 -- Meeting Name), even though they were appearing in the Result column. This has been corrected.

  3. Backup location:

  • The previous version of BiblioFile Backup (an auxiliary program supplied with BiblioFile) required a trailing backslash after the backup location's folder name. Otherwise, BiblioFile Backup treated the last portion of the entry as part of the backup filename. This led to some confusion about where the backup folder was located, and became problematic if the backup was needed to restore the database. This has been corrected.

  • The previous version of BiblioFile Backup also failed to recognize spaces as valid parts of a backup folder name. This also led to confusion about where the backup was located, and has been corrected.

Known Issues in Version 1.3

Version 1.3 provides full backwards compatibility for all major ITS for Windows features except card printing, which will be addressed in a future release. There are other minor issues in the current release (1.3) that will either be addressed in 1.4 or have been deferred pending user feedback. Learn more.

Upgrading from a prior BiblioFile version

Upgrading from Version 1.0 or 1.1 is easy. Download the new software or request it on CD from TLC Support. Run the Setup program and select the same options you selected when you installed BiblioFile. i.e., check or uncheck the software and database boxes depending on how your machine is configured. Your license will automatically be transferred. No re-registration is required. Take note, however, of the following caveats:

  1. If upgrading from Version 1.0, clear the label queue. Label queuing was changed in Version 1.1. Version 1.0 queues are recognized as print queues in 1.1 or 1.3.

  2. In a network environment, be sure to upgrade all client stations that use BiblioFile. Database changes in the new version will render the old software unreliable when used with the new database version.

For more information, see the upgrade instructions.
