Converting PreMARC Records

Printed Cards:

Add Record to MARC:

Recatalog the item as a new AACR2 record retaining the card number as the control number.

or

Add the item to the Maps database as a revised/reprint.

Retain the original card number as the control number.

Update all access fields to the established AACR2 form.

Correct all typographical errors.

Review and, if necessary, correct the call number according to established conventions and procedures.

Code the fixed fields, assigning the value e as the descriptive cataloging form (tag 008 box 36).

Search the PreMARC File for the Record:

If found:

submit a printout to cancel the PreMARC record;

record the PreMARC control number below the control number sticker on the temporary shelflist card.

If not found:

indicate NOT FOUND IN PREMARC in the upper right corner of the shelflist. (When this card is replaced with the printed card the original shelflist card will be maintained in a "tickler file" for searching in the PreMARC file after the file is "cleaned up" and corrected.)

Preliminary Cataloging:

Add Record to MARC:

Catalog the item as a new AACR2 record assigning a current cataloging-year control number.

Tape the temporary shelflist card to the preliminary cataloging card:

place the colored temporary shelflist card in the front;

tape the cards together at the top.

Search the PreMARC File for the Record:

If found:

submit a printout to cancel PreMARC record;

record the PreMARC control number below trhe control number stocker on the temporary shelflist card.

If not found:

write NOT FOUND IN PREMARC in upper right corner of the shelflist card. (When this card is replaced with the printed card the oroginal shelflist card will be maintained in a "Tickler file" for searching in the PreMARC file after the file is "cleaned up" and corrected.)
