Description/Instructions

Field 776 is used to link records for other available physical forms of the item described, including microform reproductions, electronic resource versions, and other non-print forms.

Microform reproductions.  Use of field 776 is mandatory in CONSER records for preservation master microforms and the related record(s) for the original item (when the record exists on the OCLC database).  Linking a service copy to the record for the original is optional.  In general, do not make a link from the original record to a record for a non-preservation master reproduction.

Do not use field 776 for a microform when the related record does not appear on OCLC.  Do not use field 776 in the CONSER record to link to the hard copy when it is listed only in manual or in-house databases.

The link for a reproduction consists of a qualifying term for the format of the related record given in subfield $c, the name of the agency responsible for the reproduction (when linking to the reproduction) given in subfield $d, and the control numbers of the related record, given in subfield $w.  If there is more than one related record (e.g., an AACR2 record for a microform is related to three pre-AACR2 records for the hard copy), give a single 776 field with multiple subfield $w's, one representing each record.

Electronic and other non-print resources.  Electronic and other non-print resources may have one or more corresponding print titles.  Link all such related records (FN 1) with the 776 field.  (See also CONSER Cataloging Manual, Module 30, Direct Access Electronic Serials, and Module 31, Remote Access Electronic Serials.)

Use field 776 also when linking publications issued in non-print versions to their print counterpart, or to another non-print version.

Subfields

The subfields used for microform reproductions are:  $c, $d, and $w.  The most common subfields used for other types of serials are (in input order):  $a, $s, $t, $g, $x, $w.  For a more complete description of subfields defined for this field, see Linking Entry Fields - General Information.

$c  Qualifying information.

For microform reproductions, input "Original" in subfield $c when linking to the item as originally produced.  When linking to the reproduction, input in subfield $c the specific material designation as recorded in subfield $a of field 533 (e.g., Microfiche, Microfilm, etc.).  Capitalize the term used in subfield $c.

$d  Place, publisher, and date of publication.

Subfield $d is used in links to the microform reproduction.  It is not used in corresponding links from the reproduction to the original.  Give the agency responsible for producing the microform as recorded in subfield $c of field 533 in the related record.  Do not give the place or dates of publication in subfield $d.

See Linking Entry Fields - General Information, for general instructions on the input of control numbers.  For reproductions, when cataloging rules vary between the reproduction and the original, resulting in a difference in the number of related records, input multiple subfield $w's in one 776 field, with one $w representing each related record. (FN 3)  Use the LC control number in subfield $w or the OCLC record number when there is no LC control number.

Example:

1.   The hard copy is represented by three successive entry records cataloged under corporate bodies which have changed.

2.   The reproduction is cataloged as AACR2 and requires only one record under title.

Maintenance

CONSER participants should make changes to 776 fields involving microform reproductions as encountered to bring the field into conformance with these guidelines.  Earlier policies for electronic resources directed catalogers to use other linking fields (fields 775 and 787).  Do not change linking fields involving electronic resources when encountered.
