All cancellation requests must be accompanied by a completed correction card (form 83-32 (rev. 3/86)) that includes the control number for the covering LC record number in the standard format of Covered by: [control number].

Verified Records:

Superseded LC control numbers or card numbers from cancelled verified records are recorded in the LC card number field (tag 010) in the "covering" record.

When more than one single map record is cancelled for collective treatment as a new map series/set, all the cancelled control numbers will be included in the LC card number field (tag 010) in the record for the map series/set. A separate correction card must be submitted for each record cancelled.

Record the control number for the new, replacement, or covering record on the correction card for all cancelled records. Note the covering record identification number on the correction card (form 83-32 (rev. 3/86)) in the standard form Covered by: [control number].

Never cancel a full level cataloging record in preference to a less-than-full level record.

If, for any reason, a record is cancelled without replacement coverage, note the reason for canceling the record on the correction card (form 83-32 (rev. 3/86)) as succinctly as possible and specifically state there is no replacement coverage.

Only the first page of a record, to provide the control number and call number, need be printed to cancel a record from the Maps database.

In the upper corner, in red, mark the printout CANCEL.

Record the cataloger’s code and date submitted.

Pull and submit the shelflist card(s) with the request.

Remove the map form the collections.

Submit the cancellation to the reviewer.

Unverified Records (2):

Record the control number for the new, replacement, or covering record on the correction card for all cancelled unverified records. Note the covering record identification number on the correction card (form 83-32 (rev. 3/86) in the standard form Covered by: [control number].

A separate correction card must be submitted for each unverified record cancelled for collective treatment as a new map series/set.

Only the first page of a record, to provide the control number and call number, need be printed to delete a record from the Maps database.

In the upper corner, in red, mark printout DELETE.

Record the cataloger’s code and date submitted.

Pull and submit the temporary shelflist card with the request.

Remove the map from the shelves in the Collections Maintenance Unit.

Submit the cancellation to the reviewer.

The printout will be date stamped when the record is deleted. The temporary shelflist card will be returned to the originator of the request through normal channels and can be reused anytime after the day following the deletion of the unverified record.
