Description/Instructions

Field 246 is used to record varying forms of the title appearing on different parts of the serial, portions of the title proper, or alternative forms of titles as prescribed by LCRI 21.30J.  It is used for minor changes in title proper that appear on successive issues and can also be used for titles by which serials are known.  Variant titles are input in field 246 only if they differ substantially from the title statement in field 245 and/or if they contribute to the further identification of and access to the serial.  Titles of related serials or of parts within the serial for which a title added entry is desired are input in fields 730 and 740, respectively.

Field 246 may be used for the following:

To provide online access by title.

To generate a title added entry for a variant form, when desired, on output.

To generate a note on output.

Display constants

Display constants may be generated from second indicator values 2-8.

Editing instructions

1.   Do not input initial articles.

2.   Do not input terminal punctuation unless the field ends in an abbreviation.

3.   Add a colon following introductory text in subfield $i.

4.   Order of input.  When multiple 246 fields are to be recorded, input first those 246 fields relating to the 245 field in order by second indicator value.  List fields with second indicator values 0, 1, and #, generally in that order, to reflect found form followed by any alternate form.  Record any other in the order judged best.

First indicator - Note controller/title added entry

The first indicator regulates the generation on output of a note and/or added entry.  Cataloging rules and CONSER policy (Cf. AACR2 rule 21.30J and corresponding LCRI 21.30J) will in most cases, determine whether or not an added entry should be made.

0    Note, no title added entry.

Use value "0" when a note is desired but an added entry is not needed.

246 07 Annual report

1    Note, title added entry.

Use value "1" for variant forms found on the piece and other variants that require a note and title added entry.

Second indicator - Type of title

246 14 Report of the General Assembly

Displays on output in the note area as:

Cover title: Report of the General Assembly.

#    No information provided.

Value "#" is used when the type of title cannot be specified by values 0-8, or there is no information provided as to the type of title.  Value "#" is used for the following types of variant titles:

Variant titles for which a special display constant is given in subfield $i (Display text).

-  portions of the title proper ($a) for which access is desirable

-  other title information ($b)

The portion of the title should be transcribed as it appears; do not piece together various parts of the title to construct the 246 access field.

2    Distinctive title.

Distinctive titles are special titles appearing on individual issues of serials in addition to the regular title.  They are most commonly found on issues that are dedicated to a particular topic or theme.  Distinctive titles should not be confused with individual titles within a monographic series.  Always use subfield $f with a distinctive title.

NOTE: Restrict input of distinctive titles to limited situations in which one or several issues have titles important enough to require access.  If many of the issues have distinctive titles, prefer use of a 500 note alone.

500 ## Some issues also have a distinctive title.

If every issue bears a distinctive title, and each is important enough to require access, consider treating as an analyzed monographic series.

3    Other title.

Other titles include variant forms of the title found on the piece in a location not covered by other second indicator values (e.g., masthead title.)  Do not use this indicator for a variant form found on the chief source or for titles mentioned in a 5XX note.

This value may be used for the following types of titles:  half-titles, masthead titles, or colophon titles.

$h  Medium.

The medium, or general material designation (GMD), is used in AACR2 records for electronic resources, audiovisual materials, sound recordings, and microforms (Cf. LCRI 1.1C).  For reproduction microforms, it is used in all records, regardless of the rules by which they were created.  The GMD follows the title proper (subfields $a, $n, $p) but precedes the remainder of title (subfield $b).  Input square brackets around the GMD.

$b  Remainder of title.

Subfield $b is not generally used in CONSER records, except for records input by the Library and Archives Canada.

Subfield $g is used in rare instances for information such as "varies slightly", enclosed in parentheses.

246 04 [VARIANT TITLE] $g (varies slightly)

$f  Designation of volume and issue number and/or date of a work.

Input in subfield $f dates or volume/issue numbers that relate the variant title to the record (e.g., the title proper began in 1982; the cover title was added in 1983; input as $f 1983-).  The date may be added to introductory wording in subfield $i, when appropriate, rather than being input in subfield $f.  Do not input subfield $f when the 2nd indicator value is "0" or "1".  Apply the following conventions when inputting subfield $f.

1.   Do not input any punctuation before subfield $f unless the data preceding subfield $f is an abbreviation or a closing parenthesis.

$5  Institution to which field applies.

Subfield $5 contains the MARC 21 code of the institution or organization that holds the copy to which the added entry applies.  It is used in an added entry (first indicator contains value "1" or "3") that does not apply to the universal description of the item.  The source of the MARC 21 code is MARC Code List for Organizations maintained by the Library of Congress.

$6  Linkage.

For instructions on use of subfield $6, see field 880.

CONSER maintenance

Indicator values set before format integration are not automatically changed by OCLC nor do they need to be changed when the record is updated for another reason.  As a rule, do not delete 500 fields or add subfield $i to records created before 1995.
