4.8.  Corporate body and personal name added entries

4.8.1.  Introduction

Corporate bodies or persons that are not selected as the main entry may be given an added entry.  Some added entries are required by the rules; others are optional.  Note the following rules:

21.29C1.  Writers.  "... make an added entry under the heading for a person or a corporate body or under a title if some catalogue users might suppose that the description of an item would be found under that heading or title rather than under the heading or title chosen for the entry."

21.30D1.  Editors.  "Make an added entry under the heading for a prominently named editor or compiler.  For serials and integrating resources, make an added entry under the heading for an editor if considered to be important."

21.30E1.  Corporate bodies.  "Make an added entry under the heading for a prominently named corporate body, unless it functions solely as distributor or manufacturer.  Make an added entry under a prominently named publisher if the responsibility for the work extends beyond that of merely publishing the item being catalogued.  In case of doubt, make an added entry.”

2130H1.  Other relationships.  "Make an added entry under the heading for any other name that would provide an important access point unless the relationship between the name and the work is purely that of a subject."

While the rules provide freedom to give as many added entries as desired, in practice, serials catalogers apply certain limitations.  These are discussed below under the various types of added entries.

For full level records, a person or corporate body must be given in the body of the entry or in a note in order to be given an added entry.  This is not the case in core level records, however.

4.8.2.  Persons.  (Field 700 ; AACR2 21.30D)

Do not routinely give added entries for editors or compilers of serials.  In general, limit added entries for persons to those who are identified as "authors" of the serial (LCRI 21.1A2 ), but have been rejected as main entry according to AACR2 21.1A2, and to editors or compilers who are particularly well known, provided that they have been associated with the serial for a significant period of time.  Give an added entry also to persons who both compile and publish the serial but have not been chosen as the main entry ( e.g., the compiler of a genealogical newsletter).

4.8.3.  Corporate bodies  (Fields 710 , 711 ; AACR2 21.29C, 21.30E, 21.30F)

For serials, added entries are most frequently given for corporate bodies.  This includes most prominently named corporate bodies (per AACR2 21.30E) and any other name that would provide an important access point (AACR2 21.30H).

Situations in which a corporate body is given as added entry include the following:

When the body is responsible for issuing the serial but has been rejected as the main entry (AACR2 21.1B2)

When more then one corporate body is jointly responsible for the serial

When the responsible body changes or changes its name on later issues and the serial has not been entered under the body

When several bodies given prominently act in differing capacities

When a prominently named subordinate body has prepared a serial that is entered under the parent body (LCRI 21.1B2 )

Note that according to AACR2 21.30A1, if more than three bodies are given (on the same piece) that perform the same function, give an added entry only for the first.  (If recorded as the statement of responsibility in the description, only the first would be given according to AACR2 1.1F5.)

Corporate bodies given in added entries are often justified by their presence in the following areas:

a.  Title and statement of responsibility (field 245 ):

An added entry is generally, but not necessarily, given for a body that is recorded in the title statement when the body is not the main entry.  The body may appear in the title ($a), other title information ($b), or the statement of responsibility ($c).

b.  Publisher, distributor, etc. statement (field 260 ):

Added entries are not generally given for commercial publishers (see CCM 4.2.2.).  An added entry may be given for an issuing body given as publisher when it is not the main entry.  If the serial is issued by one body and published by a lower office or branch that serves merely as the publishing office, do not generally give an added entry for the publishing office (AACR2 21.30E1).

c.  Issuing bodies note (field 550 ):

Corporate bodies that are not given in the 245 or 260 fields may be noted in field 550 and traced in field 710 or 711.  These include joint issuing bodies, corporate bodies appearing on issues that are later than the issue on which the description is based, and so forth.  In general, do not give a 550 note unless the bodies warrant added entries.

When cataloging a conference publication as a serial, use caution in giving added entries for sponsors.  While allowable (LCRI 21.30E ), certain types of sponsors are likely to change with each conference.  If a corporate body is given as a sponsor and seems to be responsible for the content and existence of the conference, then an added entry should be made.  But be cautious of giving 550 notes and added entries for local sponsors of conferences that are held in different locations each year, because local sponsors are likely to change with each issue.  Also, do not give added entries for sponsors whose contribution is merely one of financial backing, when this can be determined.

As a rule, do not give added entries for bodies within the same corporate hierarchy when both bodies are included in the heading for the lowest body.  In the example below, both the parent and subordinate bodies are given in the heading for the subordinate body.  When each body is entered independently or directly below the jurisdiction, separate added entries may be given to facilitate access (see Figure 4.23.).

Do not give an added entry for a body that is the subject of the serial but is not the issuing body.  For example, a GAO audit of the Library of Congress would be entered under title with an added entry for the General Accounting Office because it is the issuing agency.  The Library of Congress would be given in a subject heading ( 610 ) but not in an added entry ( 710 ).
